Fundamentals of Planning July 28,2008

Attention Class!! Starting Monday July 28, 2008 I will no longer accept hard copies of your blogging or assignment. Technology is our friend and we should use it. Many of you are missing posts and these posts consititute 10 points each. Please get them in. Your Mid Term Exam will be a blogged assignment. This is your assignment Due July 30,2008
Your chapter discusses that Planning involves selecting future courses of action for your organization and deciding how to achieve the desired results.

What are the three basic steps involved in Planning.

Please give an example for your company or organization.

Why is planning and controlling titled the Siamese Twins of Management?

Pg. 42 discusses planning at different levels of management but the purpose is still to achieve the overall objectives. Please explain what levels of management would handle long term, middle range, and short term. Please give an example of how each level of management will plan.

9. What is Unified Planning?
Unified planning means ensuring that plans at all organizational levels are in harmony, rather than at cross-purposes, with one another.
10. Read Case Study on pg. 45 and answer the question on p. 46
It’s the management’s responsibility to be sure all levels are working together effectively. Fernandez should put in a documented complaint so that when his department is not producing what it needs to produce, he has backup, stating that his Preventative Maintenance wasn’t done in time. He may even be able to do the PM himself.
11. What are some examples of Standing Plans? Examples of standing plans are policies, rules, and procedures.

What are some standing plans that you will have for your company? Be specific. Fire escape routes, Mission statement, Policies, Government regulations, and teacher-student ratio.

Single use plans- are discarded after only one use.
A program- is a large-scale plan composed of a mix of objective, policies, rules, and projects.
A project- is a distinct part of a program

Budget - A forecast of expected financial performance over time.
Schedule – a plan of activities to be performed and their timing.
Gantt chart – identifies work stages and scheduled completion dates.

How does a Gantt chart differ from a PERT Chart? A gantt chart shows time goals for the completion of activities. A Pert chart is more complex and estimates how much time is needed to complete the tasks.

Objectives are purposes, goals, and desired results for the organization and its parts.
Example: The goal of our company is to have 50 children enrolled by December 30, 2008.

Strategies are the activities by which the organization adapts to its environment in order to achieve its ojectives.

Example: Strong advertising to the public. Offer one week free to parents that refer a friend.

1.Procedures- Standing Plans we will have one area to check patient's in. Their will be no sign in sheet. It is more personal to get to know the patient. They will give their name when checking in. Any paper work to be filled out will be done at this time. We will also have a separate area to check out. This is to eliminate confusion with people checking in and people checking out. We will also have a receptionist to answer phones, file, pull charts when needed. Our transcriptionist will have her own office, that way there are no interuptions for her.

Policies-All employees will have to sign the policy book.

No smoking on the premises, if caught your will get a verbal warning, if it continues there will be a written warning, and if it still continues there will be possible termination. This will be documented in there personnel file.
Tardiness will not be tolerated unless it's an emergency. They will need to call Jacqueline and report to her. 3 tardies verbal warning, 6 tardies written warning, anything over 10 tardies they will be terminated. This is due to they have a job to do and we need them to come in on time so other staff members do not have to take up that person's slack.
Vacation time 1st year 1 week vacation 1 week personal or sick time. If you are calling sick you must have a doctor's excuse.
3 years you will get 2 weeks vacation and 1 week personal or sick time.
5 years you will get 3 weeks vacation and 1 week sick and personal time.

2. single-use, program,projects all have objectives they want to accomplish, specific steps to accomplish these tasks. The difference being single-use is a one time accomplishment & then discarded. Program is on a much larger scale with a mix of objectives, policies, and rules with smaller projects. Projects is a smaller part of a program, it involves many projects.

Schedule for one week.

Monday-Friday open from 8-5 closed for lunch 12-1 everyday.

Monday-we will see our 25 patients a day. Have patients fill out their paperwork when they come in. We have 3 doctor's working everyday on a rotation basis. Lasondra will be in charge of that.
She will also make phone calls daily to make sure the doctor's who are scheduled to volunteer are able to come. Any donations that come in will be posted daily.
At the end of the day everybody will make sure everything is clean and tidy. All reports will be run at the end of the day.

Tuesday-See our 25 patient's. Have paperwork ready for patient's when they come in to be seen. Reminder calls to the doctor's who are scheduled for the next day. If a doctor is unable to come in we will call another doctor to come in and cover. We will reschedule the doctor for another day.
We will help the staff anyway we can, also to make sure they are doing their job.

Wednesday-Staff meeting @ lunch time. We will pay for their lunch either we will eat in or take them out. We want to make sure that our staff is happy. Anything that needs to be discussed they will have an opportunity to do this. We want to make sure things are running smoothly and any changes that need to be made we will take care of. Our patient's health is our #1 priority. See our 25 patient's and of course this is on a first come first serve basis.
End of day clean up and run reports.

Thursday-See our 25 patient's. Reminder calls to the doctor's. We will check our stock for office supplies and also our prescriptions. We need to make sure we are always fully stocked for what we need daily. End of day clean up and run reports.

Friday-See our 25 patient's. Reminder calls to the doctor's. Make deposit for the week of all donations that have been brought in during the course of the week. Pay all bills that need to be paid out. Clean up at the end of the day, run reports to show activity for the entire week.

My objective would be to give the best medical care to our patient's that we can. We have a goal to see 25 patient's everyday and if we can exceed that down the road we will certainly do that. The results of Helping Hands Free Clinic will get a very valuable reputation. This will bring in more patient's and possible expansion.

My strategies will be everyone needs to be a team player, by helping each other with our daily tasks. We all have a purpose here, which is to serve our patient's and community. The needs of the patient's is very important. We want them to come in to a comfortable environment. People get nervous about seeing the doctor or they just don't feel good. We need to go the extra mile to comfort and give TLC to our patient's.

1.What is contingency planning? Having anticipated solutions in advance for problems or changes that may arise and being prepared to deal with them smoothly when they do arise. Ex.Helping Hands Free Clinic might have too many patients, but not enough staff...In this situation, I as the supervisor will use the multi-task nurses to rotate around.

2. What is scenario planning? Involves anticipating alternative furture situations and developing courses of action. Ex."Supervisor"-Helping Hands Free Clinic are ready to face any obstacles that we face. Ex. Our organization might come low on funds..We as a dependable organization has savings, grants, etc. to keep the organization the best.

3. Top Manager-Jennifer will be in charge of the grants, loans, money handling,keeping the updates on further notices. Middle-Lasandra-In charge of the future scheduling, knowing when to bring people in to train for a job. "Supervisor-Jacqueline-I deal with the day to day scheduling to make sure Helping Hands run smoothly.

4. Unified planning-Encouraging that plans at all organizational levels are in harmony, rather than cross-purposes,with one or another. Ex. Helping Hands will have shedules for the departments. We will have organzational planning for each departments. Each department will be required to know every other department jobs. Everyone is required to be multi-task for each position,just in case someone will be out.

5.Policies-Helping Hands will follow all procedures, rules, and polices exactly like it's written; there will be no short-cuts. Jacqueline, Jennifer, and Lasandra will have routine checks on the job.

1. 3 basic steps involved in planning are:1. setting objective goals ex: address the issue of what one hopes to achieve. 5 major objectives his or her unit seeks to achieve.
2.Identify & assesing present & future conditions affecting objectives. ex: this reconizes important variables that can influence objectives (resources).
3.Developing a systematic approach to achieve the objective. ex:this becomes the plan.It addresses the who, what, when, where, and how to plan.

2.Helping Hands objective is to see 125 kids a week.

3. Planning is a part of controlling. The 5 steps are
1. Setting performance goals or norm
2.mearsuring performance
3.comparing performance with goals
4.Analyzing results
5.taking corrective action as needed.

5. Planning could have helped Herietta have a better day by setting goals for her day, have a back up plan for call-ins , and develope a plan.

4) She could had a backup plan for a no-show or call in, she could put her new trainee with one of her senior employees while she handled her work, and set up a work plan for her to follow every day.
5) Contingency Planning means having anticipated solutions in advance for problems or changes that may arise and being prepared to deal with them smoothly when they arise. Having a qualified teacher or assistants if we are short handed or a call off.
6) Scenario Planning - means anticipating alternative future situations and developing courses of action for each alternative. Ex. Setting a specific guideline for our kids if they were sick (no child allowed if he or she has a high temperature).
7) Top Managers- long term- ex: Growth rate, new products. Middle Managers-middle range- ex: How to improve scheduling and coordination. Supervisors-short term-ex: How to implement new policies, work methods, and work assignments
